We are currently seeking a Special Events Representative responsible for selling private party and corporate functions (group events) under the direction of the Special Events Sales Manager, growing the client database through networking, and working with the store operations staff to ensure the quality experience of every event.
Takes incoming guest calls, sells event space/F&B/power cards, etc., and enters all appropriate information into the system.
Follows up with Guest on details and payment issues.
Answers guest calls promptly, and returns all messages within the business day.
Responsible for accurate and prompt distribution of paperwork to all designated areas to ensure quality experience.
Works with the Manager to increase the client database through outside sales efforts, direct mail, phone calls, networking with local community organizations and associations, representing Dave & Buster's at trade shows and other community events, etc.
Maintains regular contact with current client base.
Follows up with host within 2 days of event.
Handles any challenges promptly and to the guest's satisfaction. Refers to Manager, if necessary.
Works with Manager on awareness campaign, sending regular communications to all companies within a 10 mile radius and to all current guests to promote regular and special activities at Dave & Buster's and increase store traffic, both event and walk in.
Assists in producing the monthly calendar.
Reviews the annual sales plan, and assists in updating the board in the Special Events office that shows prior year sales, current year sales (as they occur) with dollar and percent over/under prior year.
If the Manager is absent, this position should meet with all appropriate Store staff (GM, Kitchen Manager, etc.) to review and discuss the planned events.
Follows all standard policies and procedures in handling reservations.
Collects all deposits and payments on time.
Performs all promotional plans as directed by SE Manager and WHQ.
Works the hosted events (networking) quarterly to include a holiday-hosted event in September of each year.
Contacts SE Manager and WHQ on all issues involving vendors to include synergy, MDT, printing, etc.
Works with the SE Manager to establish and maintains regular contact with Convention Visitors Bureau, all hotels within a 5-mile radius of store (concierge program), etc. through mailings and periodic visits.
Takes the initiative to develop and improve sales skills, through internal and external sources.
Assists to ensures the back up of party logs daily.
Assists in maintaining and updating the voice mail system for Special Events.
Assists in ensuring the maintenance of event archives, the Bridge Party book, and all critical information.
Updates Persuasion system daily.
Plan seating arrangements, maintain comment cards, produce reservation list and produce playbills for MDT and other team building events.
Handle all charitable donation requests under the direction of the SE Manager.
Coordinates a team to decorate store for all holiday events.
Chairs the committee to plan the employee meetings and annual party.
Miscellaneous Special Events duties as directed by SE Manager.
